Introduction
Get Headhunted Group is an internationally operating headhunters and consultancy firm that brings candidates and employers together. To this end, Get Headhunted Group possesses information from both candidates and employers.
Get Headhunted Group guarantees a careful and discreet handling of this information, taking into account the interests of all parties involved. We are aware that you place your trust in us.
We therefore see it as our responsibility to protect your privacy and to explain why we collect this data. Therefore, we only collect, process and use personal data in accordance with the General Data Protection Regulation (GDPR) and supplement it with national legislation such as the Personal Data Protection Act.
If this privacy statement is amended due to changes in the law, we will inform you and/or send you an amended version.
1. Why we process your personal information
We process personal information in order to carry out our activities as well as possible. All in accordance with the applicable legal obligations.
As a headhunter for talent, we gather information from sources that are publicly or generally available on the internet. The data we process mainly comes from you, with the exception of information from public sources such as search engines, social networks, or business portals. We use these sources to identify and contact potential candidates for exciting job opportunities, thereby bridging supply and demand in the job market.
If in any case Get Headhunted Group wants to process personal data for another purpose, which is not related to one of the purposes mentioned below, we will always inform you about this. We will inform you in we adjust our Privacy Statement through a message on our website or a personal message to you.
1.1 Customers
We process your company data such as: company name, address, e-mail address, telephone number, Chamber of Commerce number, VAT number, name of contact person, e-mail correspondence and job listings in order to be able to carry out the following activities:
• Contacting and managing relationships of Get Headhunted Group;
• Sending digital mailings, newsletters, reports and quotations;
• Sending mailings and newsletters, reports, quotations, invoices or gifts by post;
• Sending event invitations
1.2 Candidates
When you submit your candidacy to one of our consultants for any of our services (recruitment and selection, hereinafter: the services), we will ask you to provide personal data such as: first name, last name, address, place of residence, gender, date of birth, social security number, CV, diplomas, employment documents, a copy of your ID, passport photo, marital status, email address, nationality, information about your education, availability details, email correspondence, work history, and leave information.
We process your personal information in order to be able to carry out the following activities:
• Prepare a candidate file, this file helps our headhunters to select fitting job openings;
• In consultation with you, your resume will be provided to the client as agreed with you;
• Your resume and related information will not be provided to any third parties outside of the Get Headhunted Group;
• Your data will be stored for an indefinite period of time with the aim of staying in touch.
2. Legal basis for using your information
We will only use your personal information if we have a legal basis and necessity to do so.
We use your personal data because this is necessary to represent a legitimate interest of the Get Headhunted Group. That legitimate interest is, for example, bringing the Get Headhunted Group and its activities for coming into contact with (potential) customers and improving our services.
In some cases, we may only process your data if you have given us permission to do so.
If you enter your personal data in our (web) form, you also give us permission for the use of your personal data.
You can revoke that consent at any time.
We will then terminate the further use of your personal information unless we have another legal ground for the use of it.
3. To whom can we provide your personal information?
Only employees of Get Headhunted Group who need the personal data to perform their work have direct access to your data in the secure SpinOffice system of Get Headhunted Group.
Sometimes it is necessary, for the benefit of our activities to engage third parties (for example, software suppliers or shipping partners). This third party will only have access to your personal data if we are sure that that third party uses the data in a way and for a purpose related to the purpose for which the data was obtained, and only in accordance with this privacy statement. Furthermore, the confidentiality obligations and security measures required by law always apply to prevent your personal data from being disclosed to other parties.
In some cases, on the basis of a legal obligation, we also have to provide data to third parties, such as the tax authorities or the police. We always look at how we can respect your right to privacy as much as possible. This also applies if the provision of your data is necessary in the interest of the security of the State, the prevention or detection of criminal offenses, or if the interests of other people are at stake.
For the management and maintenance of our computer systems, it may also be necessary for our supplier to have access to the systems. The supplier may also be able to view your personal data. This only happens if the supplier can help us and in compliance with strict conditions, such as a supplier's obligation of confidentiality.

5. Your right to object
You can object to the use of your personal data, for example if you believe that the use of your personal data is not necessary for the execution of our services or to comply with a legal obligation.
Please clearly state in the letter which use of your data you object to.
What are your other rights in relation to the processing of your personal data?
You have the right to inspect your personal data. This means that you can request which personal data has been registered about you and for what purposes that data is used.
If you believe that we have incorrect personal information about you, you can have this personal information corrected. You can also ask us to limit the processing of your personal data, including for the period we need to assess your requests or objections.
You can also ask us to delete your personal data from our systems. We will comply with your request unless we have a compelling, legitimate interest not to delete the data that outweighs your privacy interest. If we have deleted the data, we cannot immediately delete all copies of the data from our systems and backup systems for technical reasons.
You can also ask us to arrange for your personal data to be transferred to another party.
We may refuse to comply with the aforementioned requests if they are made unreasonably frequently, require unreasonably heavy technical effort or have unreasonably heavy technical impact on our systems, endanger the privacy of others, or are extremely impractical.

6. Retention periods
We do not store data for longer than is necessary for the performance of our services, unless we have to keep your data longer on the basis of a legal regulation.
7. How do we secure your data?
We take all reasonable, appropriate security measures to protect Get Headhunted Group and our relations and candidates against unauthorized access or alteration, disclosure or destruction of personal data. Your information is stored on secure servers of the third party SpinOffice. We comply with the applicable security standards. If, despite the security measures, there is a security incident that is likely to have an adverse effect on your privacy, we will inform you about the incident as soon as possible. We therefore inform you about the measures we have taken to limit the consequences and prevent a recurrence in the future.
